Terms and conditions
Please take time to read the terms and conditions of our Guest House, we have tried to make them simple to understand. We respectfully remind you that a verbal or written reservation constitutes a legal contract.
Before making a reservation please be aware of the following:
• When a reservation is made, it means that someone else may be turned away for that room on that date. We make a commitment to our guests when we reserve a room for them; in return, we require a commitment from our guests. This is why a 'Cancellation Policy' is deemed necessary in clear and simple terms.
• Please confirm you approximate time of arrival at time of booking.
• Rooms are to be vacated by 10am on the day of your departure.
• Acceptance of the Cancellation Policy at time of booking.
• We always advise guests to have a holiday insurance in case of cancellations.
• The Hilary is not suitable for children and babies.
• We do not accept pets.
• We have a very strict no smoking policy which guests must adhere to. In the event of non-compliance, a charge of £50 will be levied for professional cleaning of the room. The Hilary is a totally non-smoking establishment. This includes our grounds.
Arrival/Departure Times
Earliest arrival time is 10:00 a.m. and latest is 9 p.m. We require your estimated time of arrival when booking. Although you may arrive at 10:00 a.m. your room may not be ready at this time but you are welcome to leave your luggage. Please let us know if you anticipate arriving after 8 p.m. otherwise your room may be re-let.
For the convenience of incoming guests, we require rooms to be vacated by 10.00am on the day of departure. Later departure times may, however, be possible on request and may incur an additional charge.
Cancellation Policy
We respectfully remind guests that a reservation constitutes a contract between themselves and The Hilary. In the event of cancellations, alterations or reduction of numbers by the client, The Hilary will undertake to mitigate its losses and to re-let the room at similar rates. The Guest will be responsible for the loss incurred by The Hilary in the event that rooms remain unoccupied, or are occupied at a lower rate than the date the room was originally booked. The cancellation charges imposed by The Hilary will therefore reflect the actual loss. Any postponement of confirmed bookings will be treated as cancellation. We reserve the right to amend our tariff without notice.
To prevent any potential loss due to cancellations we do stress the importance of taking out travel insurance to protect yourself.
We request one night's stay as a non-refundable deposit.
If you have to cancel your stay for whatever reason, the right is reserved to make a cancellation charge in addition to your deposit

Every effort will be made to re-let the room(s). However if we are unable to do this we will charge up to 100% of the balance as follows:
29 – 42 days prior to arrival 30% of total balance
15 – 28 days prior to arrival 45% of total balance
1 – 14 days prior to arrival 60% of total balance
Arrival day or later 100% of total balance
The period of notice is taken from 2.00 p.m. on the proposed day of arrival.
Car Parking
Access to our car park is at the front of the house. 6 spaces are available depending on how well everybody parks and the size of the vehicles. We have had 9 cars on the car park.!. There is additional free parking (subject to availability) in St Davids Road and St Seriols Road as well as at the rear of The Hilary.
Damage
In the event of damage to Guest House property, we reserve the right to charge to replace, repair or professionally clean the item concerned. There will be a charge for lost keys.
We reserve the right to refuse admission, to request payment in full for damages and to ask you to leave early as a result of unacceptable behaviour
Fire Safety
For your own safety, please read the fire procedures on the back of the door in your room and familiarise yourself with the escape route. If the fire alarm goes off during your stay at The Hilary please do not assume that it is a false alarm or a fire drill. The Hilary is not suitable for people who would need assistance to exit the premises.
Gift Vouchers
Gift Vouchers will be honoured up to 1 year from date of issue. Their use by recipients will be dependent upon availability, and we reserve the right to decline unreasonable booking requests.
Payment
Balances of accounts should be settled upon arrival; and in exceptional circumstances, no later than the day prior to departure. Please note that due to ridiculous banking charges, a 2% surcharge is applied to all credit card and debit card balance transactions. Deposits are not subject to this surcharge. We do not accept American Express or Diners Card. In exceptional circumstances we will accept payment by Bank Transfer or paypal, please mention when making a booking if you do not want to give your credit card details.
Visitor Registration
Under the Immigration (Hotel Records) Order 1972, all hotels, guest houses, bed & breakfasts, must keep a record of the full name and nationality of their guests over 16 years of age. ‘Aliens’ must also supply passport number and next destination.
Privacy Policy
At The Hilary Guest House we are committed to ensuring that your privacy is protected. This privacy policy explains what information is collected about you, how we use this information, how you can instruct us if you prefer to limit the use of the information, and the procedures that we have in place to safeguard your privacy. This online privacy policy applies to information collected through our website
The Hilary Guest House does not collect personal information from you unless you provide it to us. This means that you can visit our site without telling us who you are or revealing any personally identifiable information about yourself. We collect information from you when you make a reservation or subscribe to our newsletter. If you do neither of these on-line then you will visit our site anonymously
When making a reservation you will be asked to enter your: name, e-mail address, mailing address, telephone number and credit/debit card information.
When making a reservation the information we collect from you will be used solely for processing your deposit and communicating with you about our reservation.
Your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever.
We collect aggregate information and statistics for the purposes of monitoring website usage in order to help us develop the site and our services and we may provide such aggregate information to third parties who assist us with this process. These statistics will not include information that can be used to identify any individual.

The Internet is not a secure medium. However, we have put in place various security procedures to help ensure that your information is as secure as is possible. We also keep your information confidential. Our internal procedures cover the storage, access and disclosure of your information.
We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway providers database only to be accessible by those authorized with special access rights to such systems, and are required to keep the information confidential.
After a transaction, your private information (credit cards, social security numbers, financials, etc.) will not be stored by us.
We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website as long as those parties agree to keep this information confidential.
